How to update Branch Membership Records

Picture
Keeping membership records updated is vital for efficient communication at all F&G levels. We rely on these records to determine state and National dues payments, print quantity for the newsletter, and other administrative needs. Membership Chairs at the Branch level are responsible for reporting all changes (new members, resignations, contact information updates) to the Michigan Division Registrar.

When to provide updates
The Registrar will accept updates and corrections at any time during the year, but certain times are key:
-- in August/September as the new season of F&G begins
-- in December, when dues payments are being
calculated
-- prior to publication of the state newsletter (August (Fall issue); December (Winter issue); February (Spring issue))

How to provide updates
Microsoft Excel (or compatible spreadsheet program) is the preferred format. The Registrar's records are set up with the following column headers in columns A-L:

Branch /Y (if requesting online newsletter) / First Name / Last Name / Street Address / City / State / Zip / Email address

Using this format, Branch Membership Chairs can simply highlight the line(s) with changes and email the file to the Registrar.
Upon request, the Registrar can provide a copy of her Excel file to an individual Branch President or Membership Chair to use as the basis for updates.
